Program Policies
Before you register with Atlantis Programs, we recommend that you review our Terms and Conditions.
Below is a list of policies that may be pertinent to you, please call us directly if there's something that you would like to know that isn't covered here.
Cancellation Policy
At Atlantis Programs Inc., we pride ourselves on the convenience of our registration, customer service and cancellations.
To cover administrative costs, should clients need to cancel a program more than 1 week prior to its starting date, a $25 cancellation fee per child applies.
Programs cancelled within 7 days of a program start are subject to a 100% penalty. There are no refunds for missed days due to changed work or vacation schedules, sick days, or other non-emergency reasons.
The company recognizes that extenuating circumstances exist. If you would like to inquire into switching classes or taking make-up classes, please see the Change Policy below and contact our office.
For cancellations due to medical illnesses or for any other compassionate reason, please apply in writing to the Main Office for a potential credit (if medical, include documentation).
Change Policy
On the first day of every program, employees of Atlantis Programs Inc. will determine if a child is in the appropriate level and/or class. If the assessment suggests to the employees that a child should be moved to another level, they will work to find an appropriate alternative for that child.
Switching to another class within the set is always free of charge for similarly priced classes, but is based on space availability. If switching is done on the first day of camp, and there is a discrepancy in the class cost, the difference is to be paid or refunded. If a level switch occurs after the first day no refunds or payments will be paid.
Switching a camp MUST be done by the Monday prior to the camp start date before 4pm. Anything later constitutes a $25 late switch fee per child, until the Friday before camp when we no longer accept switches. Switching a set of swim classes must also be done no later than 7 days prior to the start date of the set.
Due to time and enrollment constraints there are no make-ups or credits for missed Pedalheads classes. In the event that a child misses one of their swimming lessons, Atlantis Programs Inc. will happily attempt to schedule one make-up class within the same set on a space-available basis. Anything additional must be applied for in writing or a drop-in fee applies. Make-ups for private lessons are accommodated in regular classes.
Special Request Policy
Atlantis Programs Inc. understands the importance of granting special requests to make a child's experience at the program as enjoyable as possible. The company makes every effort to accommodate special requests, (eg. place children in groups with requested friends etc.) provided classes have availability, and the children are all at the same level. All requests are honored to the best of the company's ability, but are dependant on the previous commitments and schedules and as such, are not guaranteed.
Liability Waiver
By registering with Atlantis Programs Inc., the parent/guardian of the registered participant,(s) on his own behalf and on behalf of the participant,(s) hereby agrees that Atlantis Programs Inc. will not be held responsible for any accident, injury or loss, liability, damage or cost they may incur however caused, whether negligently or intentionally, and agrees to release and hold harmless all instructors, staff, volunteers and sponsors from all claims or damages without limitation which may arise as a result of/or by reason of such accident or loss.
Weather Policy
At Atlantis Programs Inc. all outdoor camps and lessons run rain or shine. All children should come to camp with weather appropriate clothing and related gear. However, certain activities may be cancelled due to severe weather or its consequences.
If inclement weather jeopardizes the safety of children or employees in any way, the programs will close down immediately until conditions have subsided. The decision to cancel any programs due to potentially hazardous weather will be made in consultation with the National Weather Service and local weather forecasters.
In the event of any cancellations due to inclement weather, every effort will be made by Atlantis Programs Inc. to contact all clients affected, via email, phone or informative postings at affected locations and sites.
Medical Policy
At the time of registration, Atlantis Programs Inc. will ask clients for any significant medical notes pertaining to the child(ren) being enrolled. Parent/Guardian(s) are expected to communicate all necessary information needed to properly care for their child, as well as to reiterate all information to their Instructor and/or Supervisor on the first day of lessons.
Atlantis Programs Inc. maintains a “No Nut” policy at its camp programs, which asks that children not bring any snacks that contain nuts, due to the high occurrence of nut allergies in many children.
Illness during a Program
Any child that is deemed too ill to participate in a program will receive the best care possible from Atlantis Programs Inc. employees until safe pick-up is arranged by a parent or guardian. Parent/Guardian(s) are encouraged to offer detailed contact information at the time of registration, so they can be reached immediately in the case of a sick child, or other medical emergency.
Prescribed Medication
If a child requires prescribed medication, Atlantis Programs Inc. requires that it be labeled with the child's name, the dosage and time at which it is taken, and other relevant information. Parent/Guardian(s) must explain to Instructors in person, on the first day of lessons, exactly what their child needs concerning the administration of said medication.
Lost & Stolen Property Policy
As you know, kids lose things. We recommend that children don't bring valuables with them to camp, and that every parent checking out with their child's instructor at the end of each day takes a moment to ensure that all their child's items go home with them. Atlantis Programs Inc. is not responsible for lost or stolen property.
We do maintain a 'Lost & Found' bin where we collect items that we find. If they are clearly marked with a name and number, we do try to call, to let individual's know that we have found their items. At the end of every term, the Lost & Found is taken to the nearest charity and the items inside donated.
Photo Permission Policy
Atlantis Programs Inc. offers a fun experience for children and takes pictures for use in promotions that reflect this cheerful atmosphere. As of 2007, professional photographers will occasionally be on site taking photos of the camps and its participants. By registering with Atlantis Programs Inc., the parent/guardian gives permission for the photos to be taken.
If a client does not want their child to participate in photo shoots, please notify one of the onsite Supervisors. It should be noted that Atlantis Programs Inc. will contact the parent/guardian of any child whose image appears in a photo for approval to be used in promotional material.
Child Protection Policy
The safety of the children placed in the care of Atlantis Programs Inc. staff is the number one priority of the company.
We respect child anonymity rights and take special requests for legal and custodial reasons seriously. Atlantis Programs Inc. will do everything in its power to protect all children from potential harm. The company is careful to only display first names of children in public to protect their identities.
Atlantis Programs Inc. reserves the right to dismiss any child from a program that brings a weapon to the program, intentionally harms others, vandalizes property, or displays other extreme behavior. In these instances, no refund will be issued. In matters of inappropriate behavior, parents will be notified verbally and/or in writing with notification of further action.
Staff Requirements
All employees of Atlantis Programs Inc. 19 years of age and older must complete a Criminal Record Check. Employees under the age 19 must supply professional and character references. All potential employees are screened in professional interviews, and all their references contacted before they are offered employment.
Behaviour Management Policy
Atlantis Programs Inc. believes that praise and positive reinforcement are effective methods of teaching and behavior management of children. When children receive positive and understanding interactions from adults and others, they develop good self-concepts, problem-solving abilities and self-discipline.
Employees are expected to conduct themselves at all times in a respectful and professional manner when dealing with children.
Privacy Policy
Atlantis Programs Inc. respects its clients' rights to personal privacy. Atlantis Programs Inc. clients' personal information is not lent or sold to any person or agency for any purpose.
Any personal information clients have provided to Atlantis Programs Inc. will be used to deliver services to them only and to keep them informed and up-to-date about the activities of the company. These activities include advising clients of initiatives, programs, services, confirmations, special events and/or emergencies. If a client wishes to have any of their personal information amended or removed from the company databases, or if they no longer want the company to send them any further communications, they are asked to send an e-mail to Claudia.
Atlantis Programs Inc. uses appropriate security safeguards to protect its clients' personal information against loss, theft, and unauthorized access. Atlantis Programs Inc. restricts internal and external access to office files and databases, along with any personal information clients' provide during the registration process. The company website and online database is exchanged on a server using the Secure Sockets Layer (SSL) protocol, to encrypt or encode the data.
Atlantis Programs Inc. is responsible for all personal information under its control and has designated Claudia Sjoberg as Privacy Officer.

Contest Policy
All Pedalheads participants and their families qualify to enter, unless they are also employees of Atlantis Programs Inc. You can enter as many photos as you like via email or regular mail. All entries become the property of Atlantis Programs Inc.
Contest ends November 1st, 2008 and winners will be selected by December 1st, 2008. Claudia, Barb and Karen will be judging entrants and all judges decisions are final.
Prize packages are made up of cycling &/or swimming gear, with the grand prize being a free Atlantis or Pedalheads camp.
